What the record says

Put the two pages side by side and the first impression is that accounting software has become almost free. FreshBooks leads with $2.30 a month. Xero leads with $5.80. Both figures are real, both are temporary, and both companies tell you so on the same card — FreshBooks as 'Get 90% off FreshBooks for 3 months', Xero as 'Get 80% off your plan for your first 3 months*'. Three months later the bill is roughly ten times higher on one and five times higher on the other.

Xero handles the disclosure well. Under every advertised price it prints two lines: 'for the first 3 months', then 'Then $29 per month'. There is no arithmetic for the reader to do and no asterisk to chase. The standing prices are $7 on Lite, $29 on Starter, $50 on Standard and $75 on Premium, stated as plainly as the discounted ones.

FreshBooks discloses it differently, and its own numbers do the confirming. Each card carries 'Was $23.00 | Save $62.10*'. Three months at $23 is $69; three months at the discounted $2.30 is $6.90; the difference is $62.10 — exactly the saving printed. The same holds on Plus ($43 × 3 minus $4.30 × 3 = $116.10) and Premium ($70 × 3 minus $7 × 3 = $189.00). So the standing prices are $23, $43 and $70, and we did not have to take anyone's word for it.

With both discounts applied, year one favours FreshBooks at every tier and so does every year afterwards. Entry: $213.90 in year one and $276 thereafter, against Xero's $278.40 and $348. Middle: $399.90 then $516, against $480 then $600. Top published tier: $651 then $840, against $720 then $900. The gap is consistent rather than dramatic — roughly $70 to $80 a year — and it holds in both the discounted and undiscounted state.

Then there is the charge that reverses the answer for most small businesses. FreshBooks bills team members separately at $11 per person per month, on every tier. One person on Lite pays $23. Two people pay $34 — which is more than Xero Starter at $29, before Xero's own extras. Three people pay $45, which is close to FreshBooks Plus. The ladder you climb on FreshBooks is not only the plan ladder; it is also the headcount, and the plan table does not add those together for you.

No equivalent per-user line appeared on Xero's pricing page when we read it. We want to be careful here rather than helpful-sounding: that is an absence in our read, not a proven inclusion, and if you are buying for more than one person it is the first thing to confirm with Xero directly. What we can say is that FreshBooks publishes a per-seat charge and Xero's page, as we read it, did not.

The ceilings are drawn on different axes, which matters more than either price. FreshBooks limits billable clients: 5 on Lite, 50 on Plus, unlimited on Premium. Xero limits documents and features: Starter is capped at 20 invoices and 5 bills, Standard removes those caps, Premium adds multiple currencies, KPI analysis and a 180-day cash flow forecast against Starter's 30-day. A freelancer with six clients is forced off FreshBooks Lite by client count; a freelancer sending 25 invoices is forced off Xero Starter by invoice count. Which cap you hit first depends entirely on how your work is shaped.

Both have unpriced or partly-priced corners we are not going to fill in. FreshBooks Select has no published figure — 'Let's Talk' and 'Request Demo'. Its Monthly/Yearly switch advertises an 'Extra 10% Off' that we could not actuate, so no yearly figure appears above. Xero shows add-ons at 'From $4 per month' and 'From $7 per month' without our being able to attribute them to specific products. Those are gaps in what the pages let us read, and we would rather name them than paper over them.
